What we collect, and who can see it
Written in plain language rather than in the usual defensive register, because the whole product depends on students trusting the private parts to actually be private.
Notice
Draft — pending legal review
This describes how the product handles your data today, and marks what is not built yet. It has not yet been reviewed by a lawyer and is not the final policy. It will be replaced with a reviewed version, covering the data-protection law that applies to us, before the app launches. The reviewed version will add the company’s details, a grievance officer you can write to, how long each kind of data is kept, and the minimum age to use ProfileUp.
00 · The partition
The line that matters most. Coming soon
Everything below is detail. This is the part worth understanding: there are two categories of information. Parent accounts are not open yet; when they are, a parent will see the first and never the second.
01 · What we collect
What we collect
- Account details: your name, your email address, and what you are studying. The email address is how you sign in — we send a six-digit code to it — and there is no password.
- Assessment answers: your responses to the Know Me questions and to any deeper instrument you complete later.
- Work you submit: recordings, files, written answers and project write-ups that you choose to send for review.
- Test results and certificates you upload, so they can be checked and recorded on your profile as evidence.
- Reflections: your journal entries — for now these stay on your own device and are not sent to us.
- Notes your mentor keeps about your progress and your journey.
- Posts and photos you share in the feed. Every post is screened automatically before anyone sees it, and photos are checked by an AI service (Anthropic).
- Activity: which lessons you opened, what you completed, and when — used to build your plan and show your progress.
- Basic technical data: the device and browser you sign in from, and when you were last active.
02 · What we do with it
What we do with it
- Produce your growth profile and keep it current as you develop.
- Build and adjust your plan, and decide what appears on your Today screen.
- Give your mentor what they need to guide you — see who can see what, below.
- Keep the feed safe, by screening posts before they appear.
- Understand, in aggregate and without identifying anyone, which parts of the product actually help students improve.
03 · Who can see what
Who can see what
- Your mentor sees the students assigned to them and nobody else: your scores, your assessment answers, your journey, and the work you send them. Not your reflections.
- Nobody sees your reflections — not a mentor, not ProfileUp staff.
- ProfileUp staff can see what their role needs in order to support you and keep the platform safe.
- If your mentor suggests a partner organisation’s service and you agree, that partner receives your name — and your email address only if you tick the box to share it. Nothing reaches them before you agree.
- A linked parent will see your growth profile, goals, progress, participation, verified achievements and mentor recommendations. They will never see reflections, counselling notes, raw assessment answers, or unsubmitted drafts.Coming soon
- A linked institution will see aggregate readiness across its own students, and your individual progress only if you have consented to that specific link.Coming soon
- You will be shown exactly what a linked parent or institution can see, at the point the link is made.Coming soon
04 · What we will not do
What we will not do
- We do not sell your data, and we do not share it with advertisers.
- We do not use your reflections or counselling conversations to train models.
- We do not show your profile to employers or recruiters unless you explicitly share it.
- We do not rank you against other students anywhere in the product, and we do not give anyone a league table.
- We do not pass anything to a parent that this page says they cannot see, including on request.
05 · Your control
Your control
- You can have a copy of your growth profile and portfolio at any time — email hello@profileup.app and we will send it.
- You can have your account deleted, which removes your profile, submissions and reflections — email hello@profileup.app from the address you sign in with and we will do it.
- You can ask what we hold about you and get a copy, at the same address.
- You will be able to unlink a parent or an institution.Coming soon
- Deleting a submission that has already been reviewed removes it from your portfolio, but the score movement it caused is retained in the audit trail — otherwise your profile history would stop being traceable.
06 · Students under 18
Students under 18
- If you are under 18, you need a parent or guardian’s permission to use ProfileUp.
- A consent step for parents and guardians, inside the product.Coming soon
- The private categories stay private regardless of age. A fifteen-year-old's reflections and counselling conversations are not visible to a parent, and this is deliberate — a student who believes those are read writes nothing useful in them.
- If we ever need to break that in a genuine safeguarding situation, we will tell the student that we are doing it.
07 · Asking us
Questions about any of this, or a request to see, export or delete what we hold — email hello@profileup.app and a person will answer and do it. You can also contact us another way. Parents are welcome to ask before their child signs up; it is a reasonable thing to check.
